These are the Terms and Conditions for participation in the European Computer Science Summer School 2016 (hereinafter “EC3S 2016”), drafted by the University Jean Monnet, to be followed by Participant (the eligible individual which has made a successful application to the University Jean Monnet to participate in the EC3S 2016).

Participants will be allocated a room as detailed in the application form. Participants will accept the room that is allocated to them by the University Jean Monnet.

Use of venues
The venues shall not be used for any illegal or immoral purpose. All goods and property brought into the venues are brought in at the owner’s risk.

Loss or damage to Participant’s property
The University Jean Monnet shall have no liability for the damage, theft or loss of any Participant’s property in any circumstances. The Participant is responsible for taking out adequate insurance.

Loss or damage caused by the Participant
The Participant will indemnify the University Jean Monnet against: all actions, claims, suits, costs, expenses, demands (whether in respect of damage to property, personal injury or otherwise and including all legal costs and other expenses suffered or incurred by the University Jean Monnet) which any person may bring or claim arising from and out of the use of the Venues by the Participants, its employees, contractors and invitees; loss and damage to the Venues and to any property therein arising out of the use of the Venues by the Participant, its employees, contractors or invitees and in particular but without prejudice to the generality, of the foregoing caused by the use or misuse of water, gas or electricity.

Participation fees

Participation fees include:

> administrative support for immigration process
> administration costs
> full health and accident insurance coverage during the stay and the international travel
> tuition fees and course material
18-hours scientific course module, awarded by a diploma and leading to acquisition of 3 ECTS credits
12-hours French language and culture course module
> accommodation for 15 nights in fully equipped residences, breakfasts & lunches
> cultural and sports activities every afternoon, including transportation

Participation fees does not include:

> international or domestic travel costs;
> freight;
> cost related to visa application;
> dinner (excluding 2 evenings);
> or other ancillary costs arising out of participation in the summer school

Payement schedule

One applicants have been selected, a request for payement of participation costs will be sent. Payement deadline is 10/05/2016. Participation is only confirmed when this fee is received. Participation costs are payable by international wire transfer to University Jean Monnet. The University Jean Monnet reserves the right to cancel the contract and otherwise decide to welcome another applicant in the reserve list if payement is not remitted on time. In such event, the University Jean Monnet shall not be liable for any resulting costs, damage and/or loss charged to the Participant.

Cancellation of participation
Cancellation fees will be charged for withdraw from the EC3S 2016, for whatever reason as of the date of receipt of written notice of the withdrawal (notification of cancellation must be made by email). Cancellation rates are as follow:
> 50 percent of the applicable participation cost will be charge if the cancellation is made before the 1st June 2016;
> 100 percent of the applicable participation cost will be charge if the cancellation is made after or on the 1st June 2016.

Cancellation of Summer School 2016
University Jean Monnet reserves the right to postpone, curtail, move, extend or abandon EC3S 2016, if unforeseen events so require. Should it be necessary to postpone, curtail, move or extend of abandon the Summer School 2016, the Participant shall not be entitled to claim indemnity.

The University Jean Monnet accepts no liability for loss or damage suffered by the Participant and caused by:
> The failure of any service or amenities which the University Jean Monnet is responsible for providing;
> The failure of any service or amenities to be provided by the Summer School contractors;
> Cancellation or suspension of the EC3S 2016 due to force majeure, including but not limited to, strikes, fires, floods, terrorism, pandemics, acts of god or any natural disaster, or by reason beyond the University Jean Monnet’s control.
In such circumstances, and where appropriate, the University Jean Monnet may pay any costs that were unavoidable from the participation fees paid by Participants. The balance of the fees paid the Participants would be refunded less the unavoidable costs that have been paid by the University Jean Monnet. The balance would be divided equally between all Participants. Participants will be responsible for any cancellation charges on flights, visa, and any other costs that they may incur.
There are circumstances where acts of god, natural disasters, tension or incidents will raise a safety threat but not be sufficient to cancel EC3S 2016. In such circumstances, some individuals may feel unwilling to visit the country and therefore decide to withdraw from the event. The University Jean Monnet would make every effort to facilitate this with the minimum penalty to the Participant. In the event of such a withdrawal, normal cancellation charges will apply, except to the extent that the University Jean Monnet is able to reduce the charges without jeopardizing the financial viability of the event.

Termination of participation
The University Jean Monnet is entitled to terminate without notice the participation of a Participant if:
> The Participant commits any breach of, or fails to observe, any of the conditions or regulations set out in these terms and conditions;
> The University Jean Monnet , at its sole and absolute discretion, decides that participation shall be terminated;
> The Participant fails to pay any sum due

Agreement to Terms and Conditions
By submitting the application form to apply to EC3S 2016, the Applicant agrees to these Terms and Conditions.
